INTRODUCTION

DeltaE Insenerid OÜ (hereinafter referred to as “we” or “the company”) processes candidates’ personal data in accordance with applicable data protection regulations. This policy explains how we collect, use, store, and retain personal data during the recruitment process.

KEY TERMS

Personal data – any information that can identify a person, including name, contact details, education and work experience, references, and other data related to the recruitment process.
Processing – any operation or set of operations performed on personal data, including collection, storage, use, retention, transfer, restriction, deletion, or destruction.
Data subject – the individual applying for a job whose data is being processed.
Data processor – a person or organization that processes personal data.

DATA COLLECTION AND USE

During the application process, we process information necessary to assess suitability for the position. This includes, but is not limited to, the candidate’s first and last name, contact details, education and work experience, language skills, reference information, and other skills and information listed in the CV (e.g., hobbies, interests, software proficiency). Summaries of interviews and results of any homework or test assignments completed by the candidate are also processed. Where necessary, we may also collect data from referees or publicly available sources, such as LinkedIn.
Personal data is used to communicate with the candidate, evaluate the potential for an employment relationship, and improve the recruitment process. If the candidate is not selected, we may retain their personal data for up to 36 months, provided they have given their consent. The candidate has the right to withdraw their consent at any time, after which their data will be deleted unless there is another legal basis for retention. If the candidate does not provide consent for data retention, we will delete their data after the one-year challenge period, in accordance with § 25 of the Equal Treatment Act.

DATA SHARING AND SECURITY

Candidate data is only accessible to those directly involved in the recruitment process and related decision-making. If it is necessary to use an external recruitment partner, data will only be shared under conditions that ensure data security, for example, through a data processing agreement.
Candidate personal data is stored and processed within the European Union and the European Economic Area. If data must be transferred outside the European Union, we ensure compliance with applicable data protection regulations.
We implement all necessary technical and organizational security measures to prevent unauthorized access, alteration, or misuse of personal data. Personal data is retained only for as long as necessary to fulfill legal obligations or, with the candidate’s consent, for consideration in future employment opportunities.

CANDIDATE RIGHTS

The data subject has the right to obtain information about the personal data collected about them, request correction or deletion of the data, restrict its processing, or object to the processing. To exercise these rights, the data subject must contact DeltaE Insenerid OÜ by submitting a request via email to personal@deltae.ee.
If a candidate suspects that their data is being processed unfairly, they have the right to lodge a complaint with the data protection authority.
